Privacy Policy

1. Information you store in the app

The app only processes rental records you enter for your own small portfolio:

• Portfolio: name, reporting currency, time zone, and notes.
• Properties and units: labels, addresses, ownership share, acquisition metadata, and photos you attach.
• Contacts: tenant, co-tenant, vendor, and manager names, phone, email, and notes.
• Leases and rent: periods, rent amounts, due-day rules, charges, payments, allocations, credits, and write-offs.
• Deposits, income, and expenses: amounts, dates, payees, categories, memos, and liability records.
• Maintenance, assets, and mileage: repair logs, appliance details, and trip records you enter.
• Documents: receipts, leases, invoices, inspections, insurance, and other files you explicitly import (up to 20 MB each).

We do not require a separate account beyond your Apple ID for iCloud. Do not store Social Security numbers, bank credentials, payment card numbers, screening reports, or identity-document images in the app.

2. Where data is stored

Rental data is saved on your device and, when you enable iCloud, in your iCloud account using Apple’s CloudKit. Local-only portfolios stay on the device. Shared portfolios use Apple’s CloudKit sharing when you invite a spouse or co-owner.

3. Photos, camera, and attachments

Photo library or document access is requested only after you choose to attach a file. Attachments are explicit imports, checksum-deduplicated, and cached locally with a clear download state. Documents sync to invited collaborators when sharing is enabled.

4. Sharing with a spouse or co-owner

When you share a portfolio, the invited person can view tenant contact details, lease data, financial entries, addresses, receipts, and documents. Sharing uses Apple’s native CloudKit invitation flow with private read/write permission. There is no public link and no tenant portal.

5. Notifications

Notification permission is requested only after you enable the first reminder. Default notification text excludes tenant names, addresses, rent amounts, and legal status. More detailed notifications are opt-in.

6. Third-party services in the app

The app does not embed analytics SDKs, ads, affiliate tracking, or third-party trackers. Purchases use Apple StoreKit. Sync uses Apple iCloud (CloudKit) when you choose to enable it. There is no bank connection, payment processing, or developer-operated server.

7. Website (if you use our marketing pages)

If you visit our public website, it may use standard tools such as Google Tag Manager or similar for aggregated traffic insight. That activity is separate from data inside the iOS app and is governed by the policies of those providers.

8. Export

You can export CSV, PDF, and a year-end accountant package. Exports are explicit user actions using the system share sheet and may contain tenant, address, payment, and receipt data. Existing records remain readable and exportable even when iCloud or purchase verification is unavailable.

9. Retention and deletion

Data remains on your device and, if synced, in your iCloud while you use the app. You can delete records inside the app. The app distinguishes Delete Local Cache, Leave Shared Portfolio, Stop Sharing, and Delete Portfolio Everywhere. Owners can stop sharing. Participants can leave a shared portfolio. To remove all app data from iCloud, use your Apple ID / iCloud settings or delete the app and associated iCloud data as described by Apple.

10. Not tax, legal, or accounting advice

House Rent Folio is a private record-keeping tool. It does not prepare taxes, generate legal forms, screen tenants, or provide accounting, investment, or compliance advice. Reports include a limitations statement. You and your tax or legal professionals must verify classifications and obligations.
